What you will be doing:

Assist Vice President of Facilities Operations in all insurance-related areas, including liability, auto, property and environmental claims analysis and management.  Communicate with attorneys, adjustors, brokers, agents, internal parties and other interested parties as necessary.  Complete other initiatives and projects as directed by the Vice President of Facilities Operations.  Position provides support to other departments for information requests as directed.

 

Claims Reporting and Management

  • Monitor incident report filings from all properties; evaluate claims for severity and reportability. Ensure proper information storage
  • Receive, log and monitor all snow reports. Ensure snow reports are submitted based on snow events
  • Ensure timely reporting of all insurance claims to the appropriate insurer(s) and perform initial discovery and information gathering. Inform internal parties and partners as necessary
  • Track all claims and assist insurance companies with investigations. Monitor and review loss runs and participate in and lead regular claims reviews with insurers
  • Report, track and manage lawsuits covered by insurance. Work with attorneys and internal parties on the discovery process, facilitating answers, interrogatories, requests for production of documents and depositions.  Monitor all active lawsuits and provide Morgan input and positions as necessary
  • Respond to requests from attorneys and adjustors
  • Submit auto claims and work with properties and adjustors on repairs and payments to repair centers

Claims Reporting and Management – Environmental

  • Evaluate environmental incident reports for potential exposure and report to applicable carrier(s) as necessary
  • Work with Regional Facilities Managers and Facilities Area Vice Presidents on physical evaluations as necessary
  • Determine if third party inspection and/or testing services are required and advisable. Engage third parties as needed
  • Coach property leadership and Regional Property Managers for resident discussions and communications
  • Recommend settlements as necessary to resolve claims
  • Ensure appropriate releases are achieved
  • In the event of attorney representation or a lawsuit, engage and manage outside counsel to represent company interests
  • Ensure appropriate discovery is completed and claims are managed to conclusion

Property Loss Management

  • Assist in initial corporate response to property losses. Collect appropriate information for claims presentations and monitoring
  • Track all major property losses and assist in loss adjustment
  • Interface with carrier-appointed third party adjustors (TPAs) and conduct necessary negotiations
  • Complete business income (rent loss) analysis and negotiate with TPAs and/or accounting firms
  • Notify lenders of losses and complete required updates; prepare draws from lender escrows for insurance proceeds during and following the reconstruction process. Monitor accounting of property losses
  • Substantiate full Replacement Cost Value (RCV) claims to insurers
  • Track program self-insured retention (aggregate) and provide internal reporting
  • Ensure carriers/TPAs are appropriately reserving losses
  • Document any construction delays for future rent loss negotiations
  • Setup, track and adjust catastrophe (CAT) losses with internal and external parties
  • Complete subrogation process/work with insurance-appointed subrogation attorneys as appropriate

Property Loss Management – Third Party Recovery

  • Manage internal subrogation process
  • Report and manage claim submissions to third party insurers when another party (resident, contractor, visitor) is liable for damage to the company or company property. Adjust claims and prosecute through to conclusion
  • Establish liability and secure acceptance of liability
  • Provide all documentation to substantiate claims (including rent loss as appropriate) and negotiate final settlement
  • Provide monthly internal reporting on subrogation efforts
  • Develop internal company process/policy on uninsured losses by a responsible third party

Reporting

  • Prepare and maintain reports for incidents, claims, litigation and property losses
  • Prepare and maintain detailed reporting of property losses, especially for communication with accounting
  • Prepare and maintain other reports as directed and required

General

  • Document issues with and needs from the insurance program, brokers and internal parties
  • Participate in annual renewal discussions and ongoing contacts to ensure needs are being met
  • Hold TPAs and insurers to special account/handling instructions
  • Function as the internal insurance and coverage expert
  • Work on risk management strategies with internal parties and insurers
  • Develop policies, procedures and education (employee and resident) as necessary to manager and reduce risk

Qualifications:

  • Bachelor's degree (B.A.) from four-year college or university; or two to four years related experience and/or training; or equivalent combination of education and experience.

  • Ability to read, analyze, and interpret general business periodicals, professional journals, technical procedures, or governmental regulations. 
  • Ability to compose reports, business correspondence, and procedure manuals. 
  • Ability to solve practical problems by considering courses of action within the framework of existing policies, principles and standards. 
  • To perform this job successfully, an individual should have working knowledge of property management software, Microsoft Excel Spreadsheet software and Microsoft Word Processing software.
